How to Export Assets: Domains, Trackers, Team Members, Policies, and DSRs

Exporting your assets is an essential process for maintaining backups, sharing information with stakeholders, or migrating data to other platforms. In this guide, we’ll walk you through the basics of exporting various types of assets, including domains, trackers, team members, policies, and Data Subject Requests (DSRs).



Exporting Domains


Exporting your list of domains allows you to keep a record of all the domains associated with your account. This can be useful for audits or transferring domain data to another system.

Steps to Export Domains:


    1.    Site Selector: Choose the specific site(s) you want to include in the export.

    2.    Download as CSV: Click the option to download your domain list as a CSV file.


What’s Included in the CSV:


    •    Sites: Lists the URL of each site associated with your account.




Exporting Trackers


Trackers are essential for monitoring activity on your domains. Exporting trackers helps you analyze or archive the data for future reference or compliance purposes.


Steps to Export Trackers:


    1.    Cookie Banner: Navigate to the Cookie Banner section.

    2.    Cookie Categorization: Select the categorization for the trackers you want to export.

    3.    Download as CSV: Click the option to download your tracker data as a CSV file.


What’s Included in the CSV:


    •    Tracker Type: The type of tracker associated with your domains.

    •    ID: The unique identifier for each tracker.

    •    Hostname: The host domain where the tracker is located.

    •    Service: The service associated with the tracker.

    •    Classification: The category or classification of the tracker.

    •    US Opt-out: Indicates if the tracker has an option to opt-out in the US.

    •    Expiration: The expiration date of the tracker.




Exporting Team Members


If you need to maintain a record of your team members, their roles, and access levels, exporting this information ensures you have a backup of your team structure. This is particularly useful when managing large teams or preparing for audits.


Steps to Export Team Members:


    1.    Settings: Navigate to the Settings section.

    2.    My Team: Select the “My Team” option.

    3.    Download as CSV: Click the option to download your team members’ data as a CSV file.


What’s Included in the CSV:


    •    Complete Name: The full name of each team member.

    •    Email: The email address associated with each team member.

    •    Role: The role or position of the team member within the organization.

    •    Site Access: The specific sites or areas within the system that the team member has access to.




Exporting Policies


Policies are crucial for ensuring compliance with various regulations. Exporting your privacy policies, cookie policies, and other relevant documents can help you maintain proper records and easily share them with legal or compliance teams.


Steps to Export Policies:


    1.    Policies Section: Navigate to the Policies section within your account.

    2.    Preview: Select the policy you wish to export and click on “Preview.”

    3.    Copy as HTML: Use the “Copy content in HTML format” option to export the policy content while preserving its formatting and structure.


What’s Included in the HTML Export:


    •    Fully Formatted Content: The HTML export retains all the formatting and structural elements of your policies, making it ideal for archiving or sharing.


Suggested Next Steps:


    •    Convert to PDF and Link on Your Site: After exporting the HTML, you can convert it to a PDF file and link it directly on your website. This approach ensures that the document’s formatting remains consistent across platforms, and users can easily download and view the policy. Use a tool like Adobe Acrobat or an online converter for the conversion, and then upload the PDF to your site, providing a direct link for access.

    •    Embed in Your Website: Alternatively, you can embed the HTML content directly into your website using an iframe. This allows visitors to view the policy without navigating away from the page. For guidance, refer to our How to Add Content to an iframe article.

 


Exporting Data Subject Requests (DSRs)


DSRs involve managing requests from individuals regarding their personal data. Exporting DSRs ensures that you have a complete record of all requests handled, which is essential for compliance and reporting purposes.


Steps to Export DSRs:


    1.    Privacy Portal: Navigate to the Privacy Portal within your account.

    2.    Download as CSV: Select the option to download your DSR data as a CSV file.



What’s Included in the CSV:


    •    Id: The unique identifier for each data subject request.

    •    Status: The current status of the request (e.g., pending, completed).

    •    Type of Data Request: The specific type of data request made by the individual.

    •    Created At: The date and time when the request was initially created.

    •    Last Updated At: The most recent date and time when the request was updated.

    •    User Id: The identifier associated with the user who made the request.

    •    Country: The country associated with the user making the request.

    •    Details: Additional details or notes regarding the request.

    •    Finished At: The date and time when the request was completed.



Exporting Consent Logs


To export your consent logs, you need to submit a request by generating an authenticated ticket through our platform. This process ensures that only authorized requests are processed.


Steps to Request Consent Logs:


    1.    Generate an Authenticated TicketLog in to our platform and create a support ticket requesting the export of consent logs. Make sure to specify “Export Consent Logs” in the Type field of the ticket.

    2.    Specify Email for Delivery: In your request, specify the email address where you want the consent logs to be sent. If no email is specified, we will send the logs to the account owner’s email address.



Important Notes:


    •    Per Site Delivery: You will receive a separate email for each site associated with your account.

    •    Owner Authorization Required: Only the account owner is authorized to request the consent logs. The logs will be sent for all sites under the account.
